📉 Passive Time Tracking in the KYP.ai Tool
Passive time starts being recorded when a user performs no activity for a period longer than the passive time threshold set in the KYP.ai tool (default is 3 minutes of no interaction). The time counted up to the threshold point is also recorded as passive time (since no activity was detected).
⚙️ Setting the Threshold
The threshold value is configured using the parameter THRESHOLD_TO_TRIGGER_PASSIVE
, which can be found in the administration panel (Admin > Configuration > Special Settings).
🖱️⌨️ Interactions That Interrupt Passive Time Tracking
Passive time tracking is interrupted when the user performs one of the following interactions:
Typing on the keyboard
Clicking the mouse
Scrolling with the mouse
Switching between applications (e.g., using the ALT + TAB combination)
📊 Examples of How It Works:
📞 Meeting in MS Teams
If a user joins a 30-minute MS Teams meeting and only speaks through the microphone without clicking the mouse or typing on the keyboard, KYP.ai will record 30 minutes of passive time in the MS Teams application.
However, if after 15 minutes the user types a message in the chat, the system will record:
15 minutes of passive time
A short activity related to typing a message (e.g., 6 seconds)
Another 14 minutes and 54 seconds of passive time (if no further interaction occurs after sending the message)
📂 Opening a Document in MS Excel
If a user opens a document in MS Excel and then steps away from the computer for 5 minutes (e.g., to get coffee), and then returns and clicks the mouse — the system will record 5 minutes of passive time in MS Excel.
This happens because the time between clicks was 5 minutes, and no resetting interaction occurred during that period.
📉 Displaying Passive Time Below the Set Threshold in KYP.ai
In some cases, passive time may be displayed as shorter than the configured passive time threshold. This occurs when additional system activity (that does not reset passive time tracking) is registered between user interactions.
Example:
A user works in Application A and performs no interaction with the system (mouse clicks or keyboard typing) for 3 minutes.
After 30 seconds of inactivity, a notification from Application B appears on the screen.
The notification from Application B (likely recorded as 0 seconds) is logged as an Activity Change.
As a result, the system will record 2 minutes and 30 seconds of passive time — even though the total time between mouse clicks was 3 full minutes.
❓ Why Is Passive Time Shorter?
Passive time tracking is based on the time gap between physical user interactions (keyboard or mouse interactions).
The system treats notifications and other automatic events as Activity Change, which impacts passive time reporting — even though it does not reset the actual passive time tracking.
As a result, passive time may appear shorter than the actual time between interactions.
